Position Description:
Positions in this function include more traditional administrative/clerical support roles including: answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. At senior levels, function may include supervision of other clerical/administrative staff.
Primary Responsibilities:
- Answering incoming phone calls and facilitate the handling of requests for information
- Route calls to other staff members or take messages when appropriate
- Prepare letters, reports, presentations using computer tools such as Excel and Word
- Assist in maintaining calendars for assigned personnel
- Schedule meeting arrangements and coordinate changes in meeting schedules using independent judgment
- Knowledge of WebEx and Conference call information
- Assist in making travel arrangements if needed
- Coordinate volunteer events for team and charity organizations
- Work closely with Sales Operations Manager on assigned tasks
- Order/Manage/Coordinate print requests with vendors
- Order office supplies and requests collateral material
- Navigate and trouble shoot applications and systems independently
- Manage and coordinate department filing and record retention
- Process expense reports for department leadership team
- Updating the department SharePoint Site and distribution lists
- Create and build benefit kits for new business and renewals
- Multi-task and manage work load efficiently and effectively with minimal daily supervision
- Fast-paced environment work well with deadlines and quick turnaround times
- Moderate work experience within own function.
- Some work is completed without established procedures.
- Basic tasks are completed without review by others.
- Supervision/guidance is required for higher level tasks.
Requirements:
- High School diploma
- 3+ years of administrative experience
- Proficiency with MS Office Suite (Word, Excel, PowerPoint, and Outlook)
- Prior experience managing office supply inventories, and creating/modifying filing systems
- Previous project coordination experience
Assets:
- Bachelors Degree
- Prior experience managing confidential information
- Prior experience supporting executive levels (Director and higher)
